ANVIL Collective Pty Ltd (“ANVIL Collective”, “we”, “us” or “our”) is an Australian-registered strategic advisory and consulting business. We respect the privacy of people who visit our website, contact us or engage with our services. This policy explains how we handle personal information and how to contact us about privacy matters.
1. Information we collect
Depending on how you interact with us, we may collect your name, position, organisation, email address, telephone number, enquiry details, correspondence, meeting information and information reasonably needed to prepare proposals or provide consulting services.
Our consulting engagements may involve other personal information provided by a client or its authorised representatives. The handling of that information may also be governed by the relevant client agreement. Please do not include sensitive personal information or confidential business material in an initial website enquiry.
2. How we collect and use information
We collect information when you complete our contact form, email us, meet with us or otherwise communicate in connection with a current or prospective engagement. We may also receive relevant information from clients or authorised representatives.
We use information to respond to enquiries, communicate with contacts, prepare proposals, deliver and administer consulting services, maintain business and financial records, operate our systems and meet applicable legal obligations. We do not sell personal information.
3. Website enquiries
Our contact form is provided through Netlify, which processes and stores form submissions. Enquiry notifications are sent to [email protected], our business email address managed through Microsoft 365. Your enquiry may therefore be retained in both systems.
4. Website performance, technical data and cookies
We use Cloudflare for website delivery, security and traffic/performance measurement. This includes technical information associated with website requests and Cloudflare Real User Monitoring, which measures page performance. Our optional Netlify Web Analytics service is disabled, and our checks have not detected Google Analytics tags.
During testing, our website was observed setting a session cookie named nf_edge. Its precise function has not yet been confirmed. Our website infrastructure may also process technical data such as IP addresses, device/browser information and request details to deliver and secure the site. We do not intentionally deploy advertising pixels for targeted advertising.
5. Where information is stored and how we protect it
We use Microsoft 365 for email and communications and Microsoft OneDrive for business and client documents. Access is limited to authorised personnel, currently the two founders. Our safeguards include password-protected devices, multifactor authentication, controlled account permissions and VPN use when working remotely. We take reasonable steps to protect information, although no electronic system can be guaranteed completely secure.
6. Sharing information
We may share information with service providers that support our website and business systems, professional advisers, authorised parties helping deliver client services, and authorities where required or permitted by law. We aim to limit sharing to what is reasonably necessary and appropriate for the relevant purpose.
7. Overseas access and processing
ANVIL Collective is registered in Australia and may access business information while its personnel are working from other locations, including New Zealand. Our technology service providers may also process or store information in other countries according to their service arrangements. We take applicable privacy and confidentiality obligations into account when handling information across borders.
8. Retention and deletion
We retain personal information while it is reasonably required for the purpose for which it was collected, an ongoing business relationship, or applicable legal or contractual obligations.
General website enquiries are reviewed after 12 months of inactivity. Where no longer needed, we take reasonable steps to remove them from Netlify and Microsoft 365, subject to any applicable retention requirements. Client engagement, financial and statutory records may need to be retained for different periods.
9. Use of artificial intelligence
We use tools such as ChatGPT and Claude for general business advice, research and website development. Our internal policy restricts the use of these tools to public, hypothetical or appropriately anonymised material for client-related discussions. We do not authorise the input of identifiable personal information or confidential client information into general-purpose AI tools as part of our ordinary workflow.
10. Your privacy enquiries and requests
You may contact us to ask about personal information we hold, request access or correction, or raise a concern. We assess and respond to requests in accordance with applicable law. Where relevant, you may also have a right to contact an appropriate privacy regulator.
